WhatsApp Business API or an unofficial gateway?

Use the official WhatsApp Business API for any number your business depends on. Unofficial gateways drive WhatsApp through an unregistered number, which breaks Meta's terms; when the number is banned you lose the chat history with it. Gateways are cheaper and faster to start, and that is the whole of their case.

How the two actually work

The official WhatsApp Business API is a documented interface. Your number is registered with Meta through a provider, your business name is verified, and you send and receive messages through a supported endpoint. Meta charges per conversation, billed to your own account. Because the arrangement is sanctioned, nothing about it depends on Meta not noticing you.

An unofficial gateway works from the other direction. It reverse-engineers the WhatsApp client, usually by running a logged-in session on a server, and exposes it as an API. Nothing is registered and nothing is approved. This is why it costs almost nothing per message: no one is billing you, because no one agreed to serve you.

That difference explains everything else. Templates, verified profiles, multi-agent inboxes and support tickets exist on one side because there is a contract. On the other side there is a tool that keeps working until WhatsApp changes something.

Business verification is the slowest part of going official and it costs nothing but paperwork and patience. It runs in parallel with the build, so it rarely moves the one-to-two-week timeline.

When a gateway is defensible

There are narrow cases, and pretending otherwise would be dishonest.

Testing an idea. If you are proving that customers will book over WhatsApp at all and the number is disposable, a gateway answers that question in a day for almost nothing. Treat the number as disposable in fact, not just in theory.

Internal use. A number only your own staff message, shift alerts, stock checks, internal approvals, carries no customer history and no reputational cost if it disappears.

Volumes so low that per-conversation billing is genuinely awkward to set up. Even then, weigh it against what the number is worth to you rather than against the monthly saving.

Outside those, the gateway is a cheaper version of the thing you cannot afford to lose.

When neither is worth doing yet

Do not put automation on any WhatsApp number if your volume is comfortably handled by the people you already have inside working hours. The platform question only matters once there is repetition to remove.

Do not migrate to the official API this month if your business verification documents are not in order. Half-finished verification blocks the build and produces a bad fortnight. Get the paperwork ready first, then start.

Do not spend anything here if the inbox is quiet. A more reliable channel does not create demand. Start with the audit and find out whether AI answer engines name your business at all, that is a different problem with a different fix.

Common questions

Do unofficial gateways actually get banned?
Yes, and the pattern is unpredictable rather than immediate. A number can run for months and then stop, usually after volume rises or a batch of messages gets reported. There is no appeal that reliably works, because the terms were broken.
What do I lose when a number is banned?
The number, every conversation held in it, and whatever trust customers attached to it. The contact list survives if you exported it. The history does not, and for most small businesses that history is the customer record.
Is the official API expensive?
It is metered per conversation and billed by Meta directly to your own account, so the cost tracks your volume rather than being a fixed subscription. We do not resell it. Any vendor bundling it into their own price is adding a margin you cannot see.
Can I move from a gateway to the official API later?
Yes, and you should do it before anything goes wrong rather than after. Migrating a number that is still healthy is routine. Migrating after a ban means starting on a new number and telling every customer, which is the expensive version.
