How do you automate WhatsApp customer service?

Connect your number to the official WhatsApp Business API, then put an AI agent in front of it that answers your most repeated questions, checks availability and books appointments. The short version

  • Get on the official WhatsApp Business API. Unofficial gateways get numbers banned, and a banned number takes your customer history with it.
  • Automate the messages you answer most, not the ones that are most interesting. Usually that is hours, prices, availability and booking.
  • Write the escalation rules before you write anything else. Decide what the agent must never answer alone.
  • Feed it your real past conversations. That is what makes it sound like your business rather than a template.

What to automate first

Read your last two hundred WhatsApp conversations and count how often each question appears. The list is almost always shorter than people expect: what do you charge, are you open now, do you have availability, where are you, and has my order shipped.

Those five categories are the whole first build. They are repetitive enough that a person answering them is expensive, and specific enough that an agent can answer them exactly right every time.

What should not be in the first build: anything involving a complaint, a refund, a medical or legal claim, or a price that gets negotiated. Those go to a person immediately. The agent's job there is to recognise the conversation and hand it over quickly, not to attempt it.

Official API or an unofficial gateway

Most of the cheap options you will be offered are unofficial gateways, software that drives WhatsApp the way a person would, through an unregistered number.

The gateway is genuinely cheaper and genuinely faster to start. It is the wrong trade for a business whose customer relationships live in that number, because the failure mode is losing the number and every conversation in it.

When this is a bad idea

Do not do this yet if your message volume is low enough that one person handles it comfortably inside working hours. Automation earns its price by removing repeated work; if the repetition is not there, you are buying a solution to a problem you do not have.

Do not do this if your prices, services or hours are still changing weekly. The agent is only as accurate as what you tell it, and rebuilding it every fortnight costs more attention than answering the messages yourself would have.

Do not do this if the real problem is that nobody can find you. If AI answer engines and search do not name your business at all, more responsive WhatsApp will not fix an empty inbox. Start with the audit and find out which one you have.

Common questions

Does this replace my customer service staff?
No. It reduces the time they spend on the same repeated messages, opening hours, prices, availability, order status, so the conversations that need judgement reach them faster and less tired. Every business we build for keeps its people.
Can it answer in Bahasa Indonesia?
Yes, and in whatever mix of Bahasa, English and local phrasing your customers actually write in. Handling code-switching properly is most of the work in the Indonesian market, and it is not something a translated template does well.
What happens when it does not know the answer?
It says so and hands the conversation to a person, with the history attached. An agent that guesses is worse than no agent, so the escalation rules are agreed before anything is built.
How long before it is live?
One to two weeks for a build, depending on how many services you offer and how complicated your booking rules are. Getting your number approved on the official API is usually the slowest step, and it happens in parallel.
